Provenance Rentals may also be able to customize certain requests. Depending on our needs we can acquire, or construct, these requests. |SECURING YOUR ORDER|

A fifty percent (50%) non-refundable deposit is required to secure exclusivity of rentals/services for a particular date when the order is thirty one (31) days or more from the event. Since each piece is unique, availability is based on a first come, first served basis. Final balances are due in full thirty (30) days prior to the event date. If your order is placed less than thirty (30) days prior to event date, the full amount is due immediately upon receipt. There is no option available for a non-refundable deposit to hold client’s order when less than thirty (30) days in advance. Orders must be paid in full. We do not extend any courtesy soft holds (holding without a deposit) for quotes or requests within the thirty (30) day window. Balances must be paid in full to ensure timely delivery, and no added fees, of your desired rental items. There is no option for payment upon delivery. Items are rented a la carte only, unless packages are stated on the invoice.

Orders placed with seven (7) days of the event are subject to additional convenience fees. We highly encourage clients to book quickly since we cannot guarantee items without a non-refundable deposit, signed Agreement, and major credit card on file; items book up fast especially during peak seasons; and prices increase due to last minute coordination that must be made due to the request. This does not apply to clients who have already booked us and are amending their order to add additional items.

|DESIGN MEETING|

When clients initially contact Provenance Rentals, clients receive a one-hour courtesy design meeting to discuss their rental and service needs. Any additional meetings (including meetings over the phone or live-chat), coordination services, pre-staging (including client's request for additional photography), additional measuring of products when already listed on the website, or site visits beyond this may incur additional fees (this list is not exhaustive). Additional meetings, pre-staging, coordination services, or site visits start at one hundred five dollars ($105) and up per hour (and some visits will also require mileage costs).  Clients who are more than ten (10) minutes late to scheduled visits, tours, or appointments, will have to be rescheduled, or possibly forfeit their free consultation. It is within Provenance Rentals’ sole discretion to extend a reschedule. 

|OUR SHOWROOM & WAREHOUSE LOCATION|

If you would like to schedule an in-person appointment, or you are coming to pick up your will call order our address is 10412 S. La Cienega Blvd., Inglewood (Lennox), CA 90304. We are at the intersection of La Cienega and 104th Street, behind LAX, and just parallel and west of the 405 Freeway. If you are heading Southbound on La Cienega you will make a left at the traffic light onto 104th Street and take an immediate right into our driveway/parking lot. If you are headed Northbound on La Cienega, at the traffic light turn right and another immediate sharp right into our driveway/parking lot. If you see Able Freight, you have gone too far. They are behind our building.

Provenance Rentals is a warehouse among other warehouses. The building is a greyish/whitish color with blue trim around the doors and windows. The doors and windows are also tinted. You will see us about midway down the driveway/parking lot and our name is on the door and the sign to the left when facing the door. Park in the spaces closest to the building, or there is often street parking on La Cienega, and sometimes 104th Street, if you vehicle is too large.

Provenance Rentals will maintain contact with you periodically up until your event, and a final pre-event contact will be made at least 24-48 hours prior to your event to confirm last minute and logistical details.

|STYLING, STAGING & DESIGN|

Provenance Rentals services offered include curating and styling/staging/accessorizing our products* to make gorgeous vignettes, hold coordination meetings (e.g., site visits, styling and design beforehand, mood boards), and provide pre-staging services (please note this is a different service from set-up) for an additional cost. The combination of any of these three meetings may result in additional fees. Allow us to professionally execute your vision while you focus on what matters: your special day.

Have a team assisting you? The more the merrier! We're happy to work with you, and any vendors such as venues, stylists, production companies, studios, art department and set decorators, wedding/event planners, marketing teams, catering & bartending teams, production managers, site coordinators, florists, family, and/or friends.

General styling, pre-staging, installation, and coordination services start at one hundred five dollars ($105) per hour. 

*General styling of non-Provenance Rentals products may be arranged at an added cost. Contact us to discuss your needs.


|WHITE GLOVE DELIVERY: INSTALLATION/TEAR DOWN SERVICES & SET-UP/REMOVAL|

Over the years we have gathered specialized skills for installation and removal of particular items. Certain structures and backdrops will be put together and taken apart in order to install and transport safely. Installation and tear down fees are separate from delivery/pick-up,  setup/removal, design, styling/staging, or other fees. Items requiring installation are noted on the website. Be sure to inquire with Provenance Rentals for any questions you may have. Installation costs vary depending on the item.

Set-up/removal is similar to installation/tear down, but for furniture and props. This means Provenance Rentals delivers and picks the items up to the exact point the client wishes as well—this is called white glove delivery and cuts down on wear and tear on the rentals. The client will not move or gather furniture and props at the beginning, or end, of the event. This takes the backache and headache of figuring out who will be shuffling furniture on your event day. Provenance Rentals is happy to coordinate ahead of time with images, maps, and other instructions with you and your team to optimize set-up/removal.

Provenance Rentals will outline the costs associated with set-up/tear-down and/or installation/deinstallation. Any items not property of Provenance Rentals (e.g., floral installations left on Provenance Rentals’ chuppah or arches, Client’s decor that is not Provenance Rentals’) which result in additional labor/work for Provenance Rentals shall result in additional charges to set-up/tear-down services. Discovery after-the-fact of property not belonging to Company and subsequent labor/work by Provenance Rentals shall result in additional fees. Company reserves the right to immediately bill/charge Client for such additional costs. Please discuss with Provenance Rentals ahead of time to avoid any additional fees.

|DAMAGE & DAMAGE WAIVER FEE|

Oops! Unintentional accidents can happen from time to time. To enjoy your event is to protect yourself in the event of certain damage. We created a damage waiver fee for ordinary wear and tear which is ten percent (10%) of the rental base price. We know our clients will exercise caution, but you cannot always control guests, staff, or other unknowns that could occur. With the damage waiver fee it covers ordinary wear & tear of the Rental Merchandise such as minimal food and beverage spills, nicks, small scrapes, small dents, and other light wear and tear (“Ordinary Wear and Tear”). Glitter, dripped/hardened wax on upholstery/lanterns/candlesticks, or other Rental Merchandise and Water Damage are specifically excluded from the Damage Waiver Fee and subject to additional cleaning fees. Water Damage includes, but is not limited to exposure to water/mud from rain, snow, sprinklers, dew/mist on Rental Merchandise kept outdoors, wet animals, excessive food and beverage spills, and/or interacting with the Rental Merchandise while wet/damp (For example, exiting a pool/hot tub or walking on rugs or sitting on furniture with damp clothing, etc.). Client will be responsible for the cost of repair, restoration and/or the Replacement Cost of five (5) times the rental rate listed on the Invoice for any item(s) of Rental Merchandise that has Water Damage, damage beyond Ordinary Wear and Tear, or is lost and/or unreturned. In almost all of our rental clients, damage has not gone beyond what the policy covers.

|DELIVERY & PICKUP SERVICES|

Delivery Minimum. To qualify for delivery/pick-up of any order within LA County, clients must book at least an eight hundred fifty dollar ($850.00) minimum order regardless of items ordered which applies only Rental Merchandise. Costs such as, but not limited to, other services, delivery/pick-up, taxes, logistics, and/or damage waiver, cannot be applied towards the Delivery Minimum. Costs that are not Rental Merchandise are separate and in addition to.

For other counties and states, the minimum will vary. Be sure to inquire with Provenance Rentals. Orders not meeting the delivery minimum amount, clients may either pay the minimum amount regardless of what is ordered, or it will be available for will call.

Curbside Delivery & Pickup (basic) means Provenance Rentals drops off Rental Merchandise in our packing equipment, if applicable, in one place/location off the delivery vehicle as far as delivery vehicle can reasonably and safely go on ground level (e.g., Curbside - flat ground, first level, no steps, stairs, no windy, steep, dangerous paths/roads/driveways, etc.). Provenance Rentals will not set-up/install, nor pick-up/tear-down from where client arranged the pieces. For pick-up, all Rental Merchandise must be packed in our packing equipment in the manner in which it was received and placed in the exact same drop-off location done by us. All packing equipment must be returned to Provenance Rentals. If Provenance Rentals completes any part of set-up and/or tear-down which was not originally agreed to, clients are charged for the set-up and/or tear-down. Curbside Delivery & Pickup (basic) fees start at one hundred twenty five dollars ($125.00) plus tax for delivery and one hundred twenty five dollars ($125.00) for pickup ($250 plus tax) covering forty (40) miles per round trip (80 miles for two round trips) based on amount and volume of items rented and distance traveled. Distances beyond this will start at the two dollar and five cents ($2.05) additional per mile fee. Deliveries outside of the Los Angeles area are subject to different rates.

Additional fees may apply. Delivery charges may increase beyond the delivery fees itemized in the Invoice due to, but not limited to, the following circumstances:

  • Increases or changes are made to the order;

  • Time-specific/narrow window deliveries/pick-ups (“hard start”/pinpoint times e.g., 2pm on the dot, narrow windows e.g., one (1) hour window range, etc.—deliveries/pick-ups without a range of time provided by Company, but times required by Client);

  • After-hours deliveries/pick-ups (e.g., 8:00-11:59 p.m.);

  • Late night/early morning deliveries/pick-ups (e.g.,12 a.m.-7 a.m. “late night”/“early pick-up”);

  • Vendor parking, tolls, and/or admission fees;

  • Additional wait time of Provenance Rentals delivery team beyond fifteen (15) minutes from the agreed upon time;

  • Additional work/labor incurred by Provenance Rentals discovered after-the-fact (e.g., striking floral installations from Provenance Rentals’ Rental Merchandise, removing personal decor items in order to strike an event, etc);

  • Orders are of high volume/extremely heavy weight;

  • Deliveries and/or pick-ups are scheduled for holidays (will incur an additional $300 holiday charge); and/or,
    delivery is to a location with Difficult Access.

Difficult Access is, but is not limited to, where the floor(s) is other than at ground level (such as step(s), non-flat, non-smooth surface), uphill, steep hills, stairs, elevators, uneven/irregular/narrow/obstructed floors or pathways (e.g., sand, gravel, pebbles, ragged, rough, dirt, extremely narrow or obstructed pathways and surfaces), multiple level set-up and tear-downs, long distances between parking and rental drop-off, challenging or difficult driveways, windy, narrow, and/or steep canyon roads/paths, difficult parking, clearance issues for vehicles, and otherwise difficult installation, etc. (this list is not exhaustive).

Please advise us ahead of time of any circumstances of Difficult Access at the venue so that our delivery team can adequately prepare for the delivery of Rental Merchandise and Services. Provenance Rentals is not liable, nor is client be entitled to a refund, for any failure to or delay in delivering the Rental Merchandise/Services due to reasons of Difficult Access. Difficult Access discovered/learned after-the-fact by Provenance Rentals will be subject to additional fees and client will be charged accordingly.

Delivery routes are based on Google Maps and Google Earth and any other information obtained, or presented, by client.

|WILL CALL ORDERS|

Certain orders* may be eligible for Will Call (e.g., self pick-up/return). All Will Call orders require a one hundred dollar ($100) rental minimum excluding taxes and other fees. Certain Rental Merchandise may be excluded from Will Call and shall be delivered/picked up by Provenance Rentals only.

Will Call orders may be picked up and returned at Provenance Rentals by appointment only. Clients receive only one (1) pick-up appointment and only one (1) return appointment time. Will Call orders that result in extra appointments, or trips, result in extra appointment fees. Client will incur a late fee of a minimum of one hundred dollars ($100) and/or Rental Merchandise day rate charges for any missed appointments, or for any appointments where the Client arrives more than then (10) minutes after the scheduled appointment time. If Client does not communicate with at least twenty-four (24) hours notice that Client is unable to attend the previously agreed-upon appointment(s), Client may be charged the additional day rate.

Provenance Rentals does charge a thirty dollar ($30) fee on all will call orders for slightly longer orders unless otherwise stated. Rentals for 24 hours or less receive no will call fee.

*Provenance Rentals reserves the right to decline any pickup, if transportation is deemed unsuitable and could potentially cause damage to our items. Certain items may be excluded from will call. Please be sure to inquire. Please contact Provenance Rentals beforehand to discuss transportation methods. Will Call clients should arrive prepared with an enclosed vehicle, their own blankets, straps, and manpower. Items that are not returned in the condition/manner in which they were received shall result in replacement/repair/cleaning costs (this list is not exhaustive).

|CANCELLATION; REFUND POLICY; PROVISIONAL CREDIT & RESCHEDULING |

Cancellation by Client. Upon providing proper written notice, Client may cancel the order up to thirty one (31) calendar days prior to the scheduled delivery date (or pick up date if Will Call order) for a refund less the non-refundable deposit and any other costs Provenance Rentals has undertaken in connection with Client’s event, including, but not limited to, excessive time spent on communications, pre-design and design work, meetings, custom work, sourcing new acquisitions, new acquisitions, restocking, etc (this list is not exhaustive). Clients who cancel their order thirty (30) calendar days or less prior to Client’s delivery date (or pick up date if Will Call order) shall be liable for the full costs of the Agreement and no refund is offered.

Client’s Failure to Make Scheduled Payment(s). Additionally, if Client fails to meet the agreed upon payment schedule and Provenance Rentals requests payment more than one (1) time, it is within Provenance Rentals’ sole discretion to treat the non-payment as a cancellation by Client and retain any monies paid by Client including the non-refundable deposit, charge Client late fees, and/or demand the full contract amount and any other costs incurred by Provenance Rentals in connection with Client’s order.

Cancellation by Company. In the event Provenance Rentals cannot, or will not, perform its obligations in any or all parts of this Agreement, it (or a responsible party) will: (i) immediately provide notice to Client; and (ii) may issue a refund or credit based on a reasonably accurate percentage of services rendered; substitute rental merchandise or possible Services for Client’s event; or may excuse Client of any further performance and/or payment obligations.

Provisional Credit & Rescheduled Events. It is within Provenance Rentals’ sole discretion if we offer a merchandise/service credit less the non-refundable deposit and any costs undertaken in connection with the event for orders cancelled less than thirty one (31) days. For rescheduled orders: upon providing written notice to Provenance Rentals and if Provenance Rentals is available to perform the Services on the rescheduled event date, Client may reschedule the event one (1) time to a new event date within six (6) months of the original event date. To confirm the rescheduled event date, the parties will enter into a new Agreement and Client must pay a rescheduling fee of 10 percent (10%) of the original invoice. The non-refundable deposit and all other payments made by Client through the rescheduling notice date are non-refundable, but will transfer over to the rescheduled event date. The payment schedule for remaining payments will be revised to reflect the rescheduled event date.

Payment Processing Fees. Payment processing fees through card processors are non-refundable as they are paid directly to the card processors and not Provenance Rentals.
